What documents do we need for group participants at check in?

All group participants must show a passport at check in and the immigration card to come into Mexico.
Do group participants require passport to come to Mexico?

Yes, starting January 8, 2007 all U.S. tourists are required to have a passport to re-enter the U.S. from Mexico.
Participants from other countries may also need need a visa as well. It is best to check with the Mexican consulate

Is golf included in the rate?

Only if the golf package was booked.

Yes, you can. If you are staying at any of the resorts in Cancun's hotel zone (Beach Palace, Sun Palace and Cancun

Can we pre-reserve golf for my group?

Yes, you can. Individual tee times can be reserved by writing to teetimes@palaceresorts.com. Tournaments should be
reserved with the pro at appropriate course. Your Conference Service Manager can assist you.
Do we have internet access?

Yes. We do have wireless Internet service included in the room rate when bringing your own laptop.
In resorts with a business center, the use of the Internet service is free for the first 15 minutes. The cost is
$2.50 USD/15 minutes.
What is the legal drinking age in Mexico?

18 years old.
What is the maximum number of guests in a room?

The maximum is four (4) people including children (with the exception of Xpu-Ha Palace where the maximum is three (3).
Please, request a room with 2 double beds in advance.
What is the cost for room deliveries?

$3.00 USD for deliveries under the door such envelops and invitations, and $3.50 for deliveries inside the room.
Do you require reservations in the restaurants?

We do not take reservations, nor are there restrictions on the number of times you can eat at any restaurant. There are
no surcharges at any of them either and the majority are a la carte for dinner.
Can you close a restaurant for a group private function?

No, unfortunately we are not able to close any restaurant.
Can I make a group reservation at the restaurants (dine-around)?

Yes, you can. Please check with your Conference Service Manager to coordinate applicable
times and number of guests per restaurant.
Do you offer babysitting services for groups?

Yes, your conference service manager can provide you with the details and prices.
Can you arrange transportation from the airport?

Yes. Please contact your preferred DMC for arrangements.
What if we have participants staying in another hotel and want to spend the day at Palace Resorts?

We offer a day pass. The cost is $84.00 USD for adults and $44.00 USD for children (4 to 17 years old).
Is the water and ice safe to drink?

Yes, all resorts use purified water and we also offer bottled water.
How can I ship materials from the U.S. to my conference?

Please, always use a custom broker to ship materials to Mexico. Contact your Conference Service Manager for detailed company information.
Do over night mail carriers like UPS, DHL and Federal Express work similarly in Mexico as they do in the U.S.?

Yes, in that the items you are sending from the US are documents, it should take about 48 hours.
While these companies insist they deliver to Mexico and they do, someone needs to be on the other end
to clear items from the customs house. They will not be automatically delivered to the resort.
Is it difficult to import promotional items or products into Mexico?

Not at all. There may be some restrictions on foods and drugs. A qualified customs broker can give
you all the information you need and make the process relatively easy.
Are all customs brokers alike?

Not at all. You may be using a freight forwarder who handles all your merchandise in the U.S. or Germany,
but it has no experience with the laws or nuisances of another country. It is always best to ask your conference
service manager for recommendations. Not all custom brokers are well versed in handling convention materials
for temporary importation.
Can I use my own audio visual company?

Yes. However, generally most companies only bring in the equipment that is not available and rent a
good portion from one of the in house companies. It tends to be less expensive and they utilize their
experience with resorts, electrical, rigging points, etc.
